Compare one file with its cloud copy
Unexpected mass deletion or encryption needs incident response. Pause the affected client's sync while its owner investigates ongoing damage.
Scope and access
This guide covers the current OneDrive sync app, OneDrive.exe, on Windows with a work or school account. It does not cover the old groove.exe client, macOS or mobile repair. Use your normal account and approved network; these checks do not need a tenant-wide administrator role.
Record the Windows and OneDrive versions and all configured sync accounts before a reset. An administrator may need to resolve an account, quota, access or device-policy restriction. A stuck client alone does not establish a need for a different license.
Match the displayed state to the right check
| Observation | Next check |
|---|---|
| Sync is paused | Resume from the OneDrive activity panel after checking why it paused. Confirm progress on the same file. |
| OneDrive is not running or signed in | Open OneDrive from Start and use the intended account. Escalate a device-policy block; do not edit the registry to bypass it. |
| The browser also denies access | Use the permissions guide. Resetting the sync app cannot grant access. |
| A particular filename, path, lock or quota is named | Correct that specific condition with the owner. Name and path limits depend on the app and location; use Microsoft's current restrictions below. |
| The cloud copy is correct, but one device stays pending | Follow the bounded client steps below after preserving local work. |
| The cloud file is missing or has the wrong contents | Use file recovery. A sync reset is not a content restore. |
Try the smallest client correction
- Save and close the affected document in its editing app. Confirm local disk space, network access and the account's reported storage status.
- For paused sync, choose Resume syncing. Otherwise try one pause/resume cycle from the OneDrive panel and observe the same item. Growing progress is different from an unchanged error.
- If one item is named, preserve its content before an owner-approved rename, path correction or conflict resolution. Do not delete temporary or unfamiliar files merely to clear a pending icon.
- For a persistent client-only problem, record the app version and use the organization's approved OneDrive update or repair route. If many people are affected, have the helpdesk check service health before resetting clients.
When a reset is appropriate
After these checks, an authorized operator can follow Microsoft's Windows reset procedure for the installed app. First review every sync account and preserve unsynced work. A reset affects all OneDrive sync connections on that client, including personal accounts, and triggers a full sync. Folder selections may need to be applied again.
Restart OneDrive from Start if needed, then verify the intended accounts and folders. Do not repeat resets while a full scan is progressing. Stop if the account, selected location or preserved files do not match the plan.
Verify both directions with disposable content
If copies disagree or a new deletion appears, pause the affected sync and keep both versions for the owner. A reset has no single undo button; recover content from preserved copies or the file-recovery workflow, then restore the intended sync configuration with support.
Prepare the sync handoff
Problem: OneDrive sync on Windows Account/location verified internally: Windows and OneDrive versions: Exact activity-panel error and time with UTC offset: One file / one client / many users: Browser result and unsynced copies preserved: Correction, reset scope if any and observed progress: Upload/download/original-file test results: Remaining difference / next owner:
Request sync support with a redacted summary. Keep company paths, account identities and file contents out of the initial enquiry.
